What is IBM Apptio?

Cost automation in IT starts with a boring prerequisite: until spending can be attributed to something a person recognises — a team, a product, a service — no amount of reporting produces a decision. Everything else this class of platform does depends on getting that mapping right first.

IBM Apptio is an IT cost management and FinOps platform - it answers questions: “How much do we spend on IT?”, “Who pays for what?”, “Where can we save?”. IBM acquired Apptio in 2023 for $4.6 billion.

There is a third, less discussed area: the cloud invoice sees everything that runs — including assets nobody declared and nobody patches. We return to that thread further down.

Two main areas:

  1. IT Financial Management (ITFM) - comprehensive IT budget management
  2. FinOps / Cloud Cost Management - cloud cost optimization (Cloudability)

Problem it solves:

  • CFO asks “how much do we spend on IT?” - you don’t know exactly
  • Marketing department uses cloud - who pays?
  • AWS bill grows 20% yearly - why?
  • Are our IT costs normal vs competition?

How does Apptio work?

1. Cost data collection

Apptio connects to cost sources:

[Vendor invoices] ----\
[AWS/Azure/GCP bills] --+---- [Apptio] ---- Analysis
[HR systems (headcount)] --+ ↓
[CMDB (assets)] -----------/ Reports/Dashboards

Data sources:

  • Cloud bills (AWS, Azure, GCP)
  • Vendor invoices (Dell, Cisco, Oracle)
  • HR systems (IT team costs)
  • CMDB (servers, licenses, contracts)

2. Cost allocation (who pays for what)

Apptio assigns costs to departments/applications/projects:

Example:

ResourceCostAllocation
Kubernetes cluster$11K/month40% Marketing, 30% Sales, 30% Product
Oracle licenses$46K/year100% Finance
AWS EC2$18K/monthTagging per project

Showback = show departments how much they “consume” (informational) Chargeback = actually charge department budget

3. Optimization and planning

  • Where to save? - unused resources, oversized instances
  • Next year budget - forecasting based on trends
  • Benchmark - do we spend more than similar companies?

IBM Cloudability (FinOps for cloud)

Cloudability is Apptio’s module dedicated to cloud cost optimization:

What does Cloudability do?

[AWS Bill] ----\
[Azure Bill] ---+---- [Cloudability] ---- "Save 30% here"
[GCP Bill] ----/ ↓
                    Recommendations:
                    - Reserved Instances
                    - Right-sizing
                    - Unused resources

Typical savings

AreaSavings
Reserved Instances20-40%
Right-sizing15-25%
Unused resources5-15%

For whom?

Apptio makes sense when:

  • You spend >$1.2M yearly on IT/cloud
  • You don’t know exactly how much each application/project costs
  • You want to implement showback/chargeback
  • You have multi-cloud (AWS + Azure + GCP)
  • CFO/CIO wants better cost visibility

Apptio does NOT make sense when:

  • Small IT budget (<$230K)
  • Only one cloud provider - native tools may suffice
  • No resources to manage platform

When Apptio?

  • You need ITFM + FinOps in one
  • You have IBM (Turbonomic integrates with Apptio)
  • Enterprise scale (large organizations)

AI Assistant (watsonx)

New 2024 feature - Apptio AI Assistant:

  • Answers cost questions in natural language
  • “Why did AWS costs increase this month?”
  • “Show top 10 most expensive applications”
  • Powered by IBM watsonx

How much does it cost?

SaaS model, pricing depends on:

  • Size of monitored costs (Cloudability)
  • Number of users (Apptio ITFM)
  • Modules (Cloudability, ITFM, Targetprocess)
VariantModelApproximate price
Cloudability% of monitored costsFrom $50K/year
Apptio ITFMPer user + scaleFrom $100K/year
EnterpriseFull packageIndividual

ROI: Typically savings > license cost in first year.

The cloud bill as a map of unknown assets

FinOps and security rarely end up in the same conversation, which is a shame — the cloud invoice is one of the few sources that sees absolutely everything that runs. An asset nobody declared still generates a cost.

  • Shadow IT seen through spend. An account opened by a project team outside the process will not appear in the asset register, but it will appear on the bill. Instances without an owner usually have no one responsible for patching them either.
  • Abandoned resources. Test environments still running months after a project ended are both wasted spend and unpatched attack surface. The same report closes both topics.
  • Cost as an anomaly signal. A sudden spike in compute is sometimes the first visible symptom of a compromised account being abused — cryptomining, for example. Finance occasionally sees it before monitoring does.
  • Assigning ownership. Charging costs back to teams forces every asset to have an owner. That is precisely the information a risk analysis needs.

Bringing order to cloud ownership and configuration is covered by our cloud security audit.

FAQ

What is FinOps? Cloud cost management practice - combines Finance, Engineering and Business. Apptio Cloudability is a FinOps tool.

How does it differ from Turbonomic? Turbonomic optimizes resources (right-sizing VMs). Apptio manages costs and budget. Complementary - can work together.

Do I need Cloudability if I have AWS Cost Explorer? If you only have AWS and simple needs - may suffice. Cloudability gives multi-cloud, advanced allocation and forecasting.

How long does deployment take? Cloudability: weeks (integration with cloud billing). ITFM: months (requires cost model).

Does Apptio require a lot of work? ITFM yes - requires defining cost model. Cloudability less - automatically analyzes cloud bills.

Does it integrate with ServiceNow? Yes. Apptio can pull data from ServiceNow CMDB and ITSM.

What is showback vs chargeback? Showback = inform department how much it consumes. Chargeback = actually charge department budget.

Does nFlo deploy Apptio? Yes. Cloudability deployment, ITFM cost model configuration, Turbonomic integration.
